Cancellation policy

No-one wants to cancel a holiday but we understand sometimes it is unavoidable. We will make every effort to rebook your slot, however, this will not always be possible. We encourage our guests to take out travel insurance so you don’t lose out if something crops up.

When making a booking to stay at Arbor, you are considered to have accepted our terms and conditions. At the time of booking, a non-refundable deposit of 30% will be payable. 4 weeks before your arrival date, the full balance will be due.

·     With more than 4 weeks notice, we may have the chance to accept other guests in your place. If we are able to secure another booking, you may receive a full refund less admin fee/expenses (£50).

·       With less than 4 weeks notice, if we are unable to secure another booking, unfortunately there will be no refund available. If we are able to rebook your slot, we will refund you minus 30% deposit, administration fees/expenses and any discount we may have to offer off the original booking price.

.       If you wish to re-book on different dates, provided the length of stay was the same - your original deposit amount would be transferred to secure those booked dates and 70% of the total of the new booking would remain to be paid 30 days prior to arrival of those new dates. In these circumstances please get in touch with us directly as we would need to make the booking manually on our side

For clarity, the types of expenses we may incur are: administration fees, re-advertising costs, bank charges, refund cleaning and utility charges, listing site bookings.

Failure to make a booking payment. If full payment is not received within the allotted time frame and after reminders the balance remains unpaid, we will reserve the right to cancel the agreement, cancel the booking, retain the balance paid and charge for any losses incurred. Please ensure you have travel insurance to cover any unforeseen circumstances.

Administration charges

Should any amendments to your booking be required, these should ideally be made within 4 weeks of your arrival date. A £50 administration charge may be applied for any alterations to the booking, in addition to any other applicable charges.

Terms and Conditions

Rental - Once you have made a booking our agreement is for; the rental of furnished accommodation of Arbor bothy, use of the outdoor patio and car parking space, use of water, electricity, heating and cooking appliances (oven, stove, fridge/freezer, dishwasher, kettle, toaster). The bothy is to accommodate two persons in the super king bed. Towels and bed linen are provided for your stay, please do not remove these from the premises. Cleaning products will be in the kitchen under the sink for your use, please note any usage warnings on the labels. 

Pets - Pets are not permitted in the accommodation, either to visit or to stay overnight. Unauthorised pets in the bothy will incur a fine and guests will be asked to vacate the premises.

Medical - Should guests have any specific requirements due to medical conditions, please notify us prior to booking your stay to ensure we can assist. Please ensure you are aware of emergency contact details you may require before your stay. Our local medical practice is in Grantown. For out of hours call 111 and for emergencies call 999. It is the responsibility of the guest to ensure any medical requirements are met.

Check-in and Check-out – Guests can check-in from 16:00hrs. You will receive details on how to check-in prior to your arrival. If we are not present at check-in, we will be available to contact on the phone. The contact details will be in your arrival instructions. Please confirm your arrival with us once you are settled in. Guests must be checked-out by 10:00hrs on the morning of departure unless a prior agreement has been made. Failure to do so will incur a fine.

Security Deposit – In the unlikely event of damage being caused to the property or its contents, please inform us so that we can inform you of the appropriate action you can take to rectify the situation. We will temporarily hold your payment details used at the time of booking in order to cover any loss, damage or cleaning services required. A pre-authorisation of £150 will be applied and returned upon your departure once a check is carried out on the property and its contents.

Loss of keys – You will be charged £25 for loss of keys to cover our time and expense for replacing them.

Wood-Burning Stove – You will find instructions for operating the wood-burning stove in the bothy welcome pack. It is essential to read these instructions before operating the stove. You must use only kindling, wood and fire lighters supplied in the stove, no other materials are permitted. The wood-burning stove must never be left unattended when lit and the door must always be closed when operational except for when tending to the fire. You will be supplied with a quota of wood for you stay and additional wood will be charged and payable at the end of your stay – see the welcome pack for current pricing.

Outdoor Fire Pit – Should you wish to use the outdoor fire-pit (chimenea), it is essential that you first consider the weather conditions and take great care to avoid any chance of instigating a forest fire. We are in the Cairngorms National Park and take fire safety very seriously for the wellbeing of our forest and all of its inhabitants. Please do not move the fire pit from its designated placement in the garden area. The chimenea must be at least 1 meter from the shelter, furniture and all combustibles at all times.  

Behaviour – As Arbor bothy is in a residential area, we ask that guests are considerate of our neighbours at all times. Please keep any noise to a minimum particularly after 10pm. Any inappropriate or anti-social behaviour may result in guests being ask to vacate the property without any refund applicable.

Complaints – Please inform us immediately of any complaints you may have during your stay at Arbor so that we may have the opportunity to rectify the issue. We ask that you do this via email initially so that we have a written account for our records. Should you remain unsatisfied, please inform us in writing within one week of departure at info@arbornethy.com.

Liability

1.       Arbor can not accept any responsibility for theft, loss or damage which may occur during your stay. Guests must lock the property when it is unattended.

2.       It is the joint responsibility of guests who stay at Arbor to ensure the terms and conditions are adhered to. The person who books the stay will be responsible for ensuring all costs are covered.

3.       In the event that the accommodation is left in a condition which requires additional cleaning, repair or replacement, the person who booked the accommodation will be charged to cover the costs incurred.

Acts of God – In the event of an Act of God (any severe and unanticipated natural event outside of human control) Arbor is not held liable for compensation or loss of expenses the guests may incur as a result. We encourage all guests to take out insurance to cover loss incurred any such event.

Disclaimer

·       It is the responsibility of the person making the booking to ensure that guests are aware of the terms and conditions and that they are adhered to.

·       It is the responsibility of the person making the booking to ensure all guests are covered by insurance.

·       Guests must take full responsibility for the safety of themselves and their belongings while staying at Arbor.

·       Guests must take full responsibility for any loss or damaged caused to the property during their stay at Arbor.

·       By making a booking with Arbor, guests are accepting our terms and conditions.
